For HVAC and home-service businesses

When the phone rings after hours, who answers?

Emergency calls come in at night and on weekends, and daytime calls arrive while every tech is on a job. Calls go to voicemail, and open quotes wait for someone to chase them. We build AI systems that answer inbound calls, capture the job details, route urgent calls to your on-call tech and keep scheduling and follow-ups moving.

Where the work slips

A voicemail can't book the job.

Someone with no heat or no cooling wants an answer now. If they reach voicemail, the next company in the search results is one tap away. And the calls you do catch still have to be written down, scheduled, dispatched and followed up, usually by the same few people.

Sound familiar?

  • Calls after hours and on weekends go to voicemail.
  • Job details are retyped from voicemails and notes into the schedule.
  • Emergency calls wait in the same queue as routine maintenance.
  • Quotes go out and nobody follows up.
Good fit if

You miss calls after hours or when the office is busy, your dispatcher retypes job details by hand, or quotes and maintenance reminders depend on someone remembering.

What we build

Workflows we build for HVAC and home services.

Built around your phone line, calendar and scheduling software. You set the rules for what counts as urgent, what gets booked on its own and what waits for a person.

After-hours call answering

An AI receptionist answers inbound calls when the office is closed or every line is busy, takes the address, the equipment and the problem, and books a slot or passes the job to your team.

Emergency routing

Calls that match your emergency rules, like no heat or no cooling, go straight to your on-call technician with the details. Routine requests wait for the morning.

Jobs into your schedule

Booked calls are entered into your scheduling system with the job details filled in, so nobody retypes them from a voicemail.

Quote follow-up

Estimates that haven't been accepted get follow-up emails on a schedule you set, and the office gets a list of the ones still open.

Maintenance reminders

Customers on a maintenance plan get an email when their tune-up is due, with a link to book it.

Daily call summary

Each morning, a summary of every call: who called, what they needed, what was booked and what still needs a person.

How it works

Four steps, one at a time.

  1. 01

    Free, 30 minutes

    Discovery call

Tell us about the work taking too much time. We ask questions, answer yours honestly, and say plainly whether AI is likely to help.

  2. 02

    A written plan

    Blueprint

If there is a real opportunity, we look closely at your workflows, tools and goals, and turn them into a plan: what to build first, what it involves, and what it would take.

  3. 03

    Spec first, then build

    Build

We agree on exactly what the system will do before we build it, show you working pieces along the way, and fit it into the tools your team already uses.

  4. 04

    Keep it working

    Care

Once it is live, we can monitor it, adjust it as your business changes, and plan the next system when there is an obvious next one.

Work

What we can show today.

A private AI assistant running in production for a professional services firm, and demo builds that show how we approach common problems. The demos are demonstrations, not client work.

Case study

An AI assistant that knows the firm’s work.

A US grant-writing and advisory consultancy

  • Answers from the firm’s own documents and email, and names its sources
  • Keeps each client’s material in its own private channel
  • Hands back Word documents in the firm’s house style

Questions

Straight answers for HVAC and home services.

Does it replace our dispatcher or office staff?

No. It picks up the calls your team can't get to, takes the details and hands them over. Your team still decides who goes where, and you choose what the system is allowed to book on its own.

What happens when an emergency call comes in at night?

It follows the rules you set. A no-heat call in winter can go straight to the on-call technician, while a routine request waits for the morning. We agree those rules with you before anything goes live.

Will callers know they're talking to an AI?

We'd suggest the greeting says so plainly. Rules on call recording and AI disclosure vary by state, so it's one of the things to settle before anything goes live.

Can it book jobs straight into our scheduling software?

Often, yes, if the software offers a way to connect. We check yours early and tell you plainly if it makes something harder than it should be.

Will it send things to our customers without us seeing them?

Not unless you decide it should. By default, anything consequential goes to a person for approval first, and you choose what the system is allowed to do on its own.

What does it cost?

The discovery call is free. If there is a real opportunity, the next step is a fixed-price Blueprint: a written plan for what to build first. Anything beyond that is quoted once we both understand the scope, because scope is the only honest basis for a build price.
